Top Day to Day Apps for Organization and Productivity

1. QuickBooks Self-Employed

My favorite app and the one that took 90% of the stress away from my life. This is available both on desktop and also has an app which I use everyday. Any financial and tax aspects from my business are all handled by this app and it was developed in a way that makes it pretty much effortless for the user. This year tax season was an absolute breeze for me because all I had to do was log in on the app and I was able to print out everything from expenses, to profit and loss statements and more. This saved me so much time when it came to sitting down with my accountant and going through everything. Below are a few major features in which why I love the app.

1. Separation of Expenses

When you first get the app you will connect all your bank accounts and cards so quick books is able to pull all your transactions you make no matter which account they come from. Everyday I check the app and all my daily transactions will be logged. Next all you have to do is review them. You can swipe to the right to mark it as a personal transaction or if you swipe to the left you will log it as a business transaction with the option to categorize it. When you log information as a business transaction you are able to take a photo of your receipt as well!

2. Tracking your business miles

QuickBooks came up with a way that will track and log all your travel whether its for personal use or business use. When I leave my house to go photograph a wedding for example, once I leave my driveway I go into the app and hit the button to start tracking miles. This will track my trip from start to finish and continue to track trips within the day until you turn it off. Once I get home at the end of the night I will be able to see all my trips I had done throughout the day and have an option to categorize it as either personal or business along with an option to leave a note on what I was traveling for. This is another factor that makes it extremely easy to print out an already made spreadsheet of my miles to present come tax season.

3. Easy viewing of profit and loss

When running a business you're not always just going to make money. As they say you have to "spend money to make money" The homepage of the app gives you a basic overview of how you are doing on your profit and loss and then a quick breakdown of some potential deductions. I find this helpful to remind myself how I am doing for the year.

2. G-Suite

Gmail has been my go-to email provider for the last couple years and I really enjoy it. The app is super easy to use as well as a very clean desktop layout.  Everything is kept in a thread which makes it easy to keep all conversations organized. For my business I pay monthly for a Gmail G-Suite subscription. G Suite is a set of intelligent apps including Gmail, Docs, Drive and Calendar to connect the people in your company, no matter where in the world they are. With the G-Suite, it give me the ability to use my own domain thats visible to the public but behind the scenes on my end everything runs off of gmail. My email is currently Photos@MattSurette.com which is a domain that I had purchased and use the username "photos" is connected to gmail.

3. AND.CO

AND.CO makes keeping client organization a breeze. Best part is... IT'S NOW FREE. Who doesn't love free? AND.CO helps with Proposals, Contracts, Invoicing, Expense Tracking, Time Tracking and Task Management. This really helps you save time, so you can focus on the work you love. I use this application mainly to draft proposals to potential clients and if they want to proceed, with the click of a button I can turn all that information and pricing into a contract and invoice. Some clients I work with pay me monthly to keep up with their websites, social media etc. AND.CO has a great feature that they can safely input their card information and every month or subsription date, the client will automatically be billed and I automatically will get paid! Another great tool with this app is time tracking. Lets say I'm working on editing wedding photos for example, all I need to do is go to that clients profile that I created and start the time log and it will track anytime that I spend working on the project. Everything about this application makes my life less stressful and payments made very easily. Keep in mind, if you do use the app to have your client pay online, you will be charged a 2.9% processing fee if a credit card is used. This seems to be the standard for most apps I have tried in the past though.

4. WAZE

Travel is something that will always happen with my day to day whether its heading to a meeting or going to do a job somewhere that I am not familiar with. In order with travel comes traffic and being on time is something that is crucial when making yourself look professional to a client. I've played around with a few different maps but I have found that Waze is the most accurate on finding the best route and getting me where I need to be in efficient time. One thing I enjoy about Waze is that they also give you an option to check how long it will take you to get somewhere by inputting the time you wish to arrive. This gives you a good idea when you want to plan the night before etc
